    Position Summary:
    We are seeking a Specialist who will lead (i) document management and document control for our client and (ii) document and contract obligation management for development projects that our client owns.

    Document Management and Control: We are seeking a candidate to implement and maintain a new document management and control system across our business. The candidate would also be responsible for information governance (e.g. identify where categories of information are to be stored, develop streamlined search terms) and train of the broader client team on the system/workflow.

    Contract Obligation Support for Development Projects: Client creates new projects in several sectors, including renewable energy and data centers. This work requires a significant number of contracts with external parties, such as landowners from whom we lease land (up to 100 per project) and specialty consultants from whom we procure services. With the assistance of Client's Legal Team, the Specialist will lead the tracking and notification of obligations that arise from these contracts (e.g. alert accounts payable of invoices, alert legal of proof of insurance deadlines).

    Our ideal candidate is a meticulous and detail-oriented operator who loves to tackle challenges (many of which are new to our client), enjoys working in a fast-paced environment, and collaborates with colleagues.

    Primary Responsibilities:

    * Manages a new document management system for archived records/contracts and new records/contracts.
    * Maintains effective communication with other project team members when contract obligations are due (e.g. invoices, payments) on development projects owned by client.
    * Prepares routine tracking and information guideline documents, using standard word processing, spreadsheets, or other office software as needed to support work activities.
    * Processes a high volume of land lease documents while maintaining a system/platform to track all key contract obligations.
    * Processes and tracks a high volume of external specialty consultants' requests for services and alerts Accounts Payable of invoices due.
    * Trains personnel in the use of information storage and tracking practices. Monitors work to ensure effective implementation of these practices.
    * Keeps abreast of department technologies, techniques, and services that are available.
    * Compiles information, analyzes and prepares reports, and establishes metrics for document management activities.

    Basic Qualifications:
    * Candidate must have the right to legally work and remain in the United States.
    * Candidate must have 8-10 years of recent document management experience.
    * Candidate must have 3 years of recent contract obligation management experience.
    * Demonstrated skills in oral and written communication in English.
    * Familiarity with Microsoft Word and Excel.

    What will you be doing?

Follows up on all missing sales orders and reconciles billing questions on a regular basis until payment status is complete. . Responsible for the timely submission of claims (electronic and paper as needed) to payers; Corrects and resubmits front-end and back-end rejected claims. . Ensures that all cash is posted to the correct account in a timely manner. . Responsible for the timely follow-up and collection of payments due to the organization. This is accomplished by generating invoices and/or following up with clients and/or payers.

    3. MHO Binders - Put together the installation binders for new installs.
    4. Insurance Certificates - Create the insurance certificates for all new jobs and renewals.
    5. Safety Package - Put together the safety documents and send to contractor…this is done by request only, not every new install requests this.
    6. Misc Job Request - This would be any special requirements for some jobs…examples would be CORI checks, Weekly/Monthly Labor reporting (section 3 forms), copies of OSHA cards, mech/apprentice cards, etc… -
    7. PM Meeting Notes - Input all the notes for the jobs during the PM meetings (every other Wednesday) -
    8. Reqs/PO's/Invoice Payments - Process the reqs/POs for steel beams, lull rentals, storage, custom cabs…as well as any request from NEB Sales, PM's and Ops. Process invoices and submit to AP for payment.
    9. State ID tags - These are made in house
    10. Cost Transfers/Debit Memos - Prepare as requested
