Job Title: Administrative Assistant/Receptionist
Type: Temporary to Permanent/Full-time
Pay: $16.00 - 18.00/hr
Location: Daytona Beach, FL
We are looking for responsible candidates to provide administrative and clerical support for a Housing organization including typing, filing, answering phones, scheduling meetings, obtaining supplies, coordinating and working on special projects which require accuracy and attention to detail. The primary function of coordinate office procedures, paperwork, and communications in the office, maintains daily schedule for management as needed, and prepares information and technical data needed for appointments and meetings and projects as assigned.
What you will do:
* Answer and screen calls for the agency and answers calls from the general public and directs to appropriate person or completes issue resolution with the client. Manages front desk operations for Housing Choice voucher appointments and meetings as assigned.
* Maintain and organize filing system for all administrative correspondence, official records, rules and regulations for the Housing Choice Voucher Program
* Act as liaison with other departments and outside agencies while handling routine, non-routine, or confidential information.
* Work semi-independently and within a team on special projects which may include planning, coordination, and development of presentations, coordinating, and disseminating information.
* Type and design general correspondence, memos, charts, tables, graphs, reports, website updates, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
* Exercise considerable initiative, judgment, and discretion in performing administrative work and in screening calls, visitors, and in general public relations activities.
* Exercise initiative in keeping informed of all agency policies, rules and regulations.
* Act as liaison between DBHA, participants, and landlords by communicating daily by phone, email and face-to-face about cancellations, scheduling updates and corrections for inspections.
What You Bring to the Job:
* High School Diploma.
* Five years of demonstrated administrative work experience.
* Proficiency with MS Office Suite including Word, Excel, PowerPoint, Outlook, and Publisher.
* Ability to read, write, speak, and understand English; and respond to visual/aural cues.
* A valid FL Motor Vehicle Operator's License.
* Ability to pass a background investigation and drug screening.
* Must be able to effectively understand and communicate to all levels of employees.
