Job Description

Manpower is search for a highly qualified Administrative Assistant for a local construction company, is that you?



The project administrative assistant is responsible for performing confidential administrative and secretarial duties in support of the president and management staff. Work requires significant organizational and procedural skill, as well as outstanding ability in communicating with clients, subcontractors, vendors, and others.



QUALIFICATION COMPONENTS:

Minimum Qualifications and Requirements:

Education/Training: High school degree. An associate degree in secretarial science or equivalent combination of training and experience is a significant benefit.

Licenses:

o Valid West Virginia Driver's License

o Notary or willing to become one.

Experience: 3 or more years of secretarial experience, including experience in word processing, Excel spreadsheets, making travel and meeting arrangements and acting as a liaison for the firm to outside constituents.

Skills/Abilities: Excellent interpersonal, problem-solving, and organizational skills; ability to deal with highly confidential data; computer literacy; ability to understand and follow directions; ability to maintain accurate records; ability to operate standard office equipment; ability to compose letters, memos, and other correspondence.

Other: Occasional weekend and evening hours.



PREFERRED QUALIFICATIONS AND REQUIREMENTS:

Education/Training: Some college or business school or equivalent combination of training and experience

Experience: Additional office experience, preferably at an executive support level. Experience with PowerPoint.

Accountability: Handle's travel and meeting arrangements and expenditures. Frequently must meet strict deadlines. Acts as a liaison for president and staff. Has access to highly confidential information.

Decisions: Required to make decisions concerning release of information. Since president and staff are away from the office frequently, is required to make decisions regarding day-to-day performance of tasks such as the order in which tasks will be completed. Expected to be able to handle sensitive questions and inquires directly.

Supervision: None



RESPONSIBILITIES:

(1) Acts as liaison between president and staff and clients, subcontractors, vendors, the public, etc. Frequently has contact with high-level individuals at other institutions, in the business community, etc.

(2) Compile's information organizes data and produces various reports. Has access to and handles confidential materials.

(3) Responsible for maintaining and scheduling complex appointment calendars. Makes meeting, travel, and special events arrangements. Creates travel itineraries. Required to complete travel expenditures forms.

(4) Performs general office support responsibilities, such as, answering phones, screening calls, and taking messages; reviewing, sorting, and distributing incoming mail; operating and maintaining copiers and other office machines.
