Job Description

Manpower is currently seeking an Administrative Assistant for a long-term contract opportunity with a major pipeline client located in Edmonton, AB. This position is a hybrid role working in office on Monday, Tuesday and Thursday while working remotely on Wednesday and Friday.

What will you be doing?



* Primary Admin support for Director Operations Services (managing calendar, screening emails and correspondence, anticipating and initiating appropriate action to conserve the time)

* Administration and coordination of meetings with Senior Leaders and Executives

* Preparation and maintenance of internal reporting documents (i.e. weekly report, monthly Dashboards, etc.)

* Employee and Contractor Set-up / On-boarding and Off-boarding

* Ordering office supplies, business cards and catering

* Design, manage and maintain the department's SharePoint sites and shared document storage

* Scanning, photocopying and couriering packages

* Coding and processing invoices and distributing for approval in Oracle Cloud

* Expense reporting and travel booking for professional personnel using Oracle and AMEX

* Coordinating on-site and off-site meetings and department event

* Tracking and periodic status reporting of mandatory training and certification completion





What will you bring?



* Minimum of 1 year of related experience, experience supporting senior/Executive leaders in a fast paced work environment.

* College Diploma or University Degree. Post-secondary education in Business Administration, Arts, or General Administration would be an asset.

* Excellent written and verbal communication skills with a focus on client service

* Able to manage confidential information with diplomacy and tact

* Strong knowledge of Microsoft Office Suite (Excel, Word, PowerPoint, SharePoint, MS Teams) and communications technology. Previous experience working with Oracle or SAP

* Ability to manage competing priorities in a fast paced and challenging environment

* Demonstrated time management, analytical, planning, problem solving, and organizational skills
