Job Description

Operations Administrative Coordinator

This role is responsible for a number of administrative and operations tasks, including producing reports for metrics and planning, operations data, and office level purchasing administration. Will handle all administrative functions for the site, including responsibility and coordination of AP/AR between the site location and corporate accounting team. Will act as main point of contact for customer service inquires and site visitors. This position will report to the Plant Manager.

Specific duties include, but are not limited to:

* Customer Service (Taking calls from customers with questions and payables & accounts receipts)

* Running and preparing reports as required (supporting admin & operations team)

* Preparing Daily Management Reports

* Processing Payables to submit to Corp. Accounting. Obtain any necessary approvals before processing and submission.

* Keeping track of backorders in all warehouses for products manufactured by on a daily basis and contacting appropriate team members to work out solutions.

* Order office supplies and services for the facility. Email, fax, and telephone support for office related purchase orders. Review specifications as needed.

* Manage safety boots program and other safety supply purchases.

* Support S&OP reports at the site, including intermediate usage of excel and power point, for analytics and creation of presentations.

* May be asked to process transfer orders (ST) of materials between facilities as needed. Support Site Leader on various special projects as needed.

* Work with Site Leader to coordinate office celebrations, morale events, safety luncheons, etc.

* Additional duties as assigned based on business needs


Must be able to work in a fast paced, high volume environment, and have a strong attention to detail. Must be a proactive self-starter who can work well without supervision. Must possess excellent communication, time management, analytical, and financial management skills. Requires proficiency in Microsoft Office applications, with strong excel acumen, and ability to analyze data to create presentations. Prior experience with ERP systems processing AP/AR is highly desired. Requires 2-4 years' experience in operations administration, purchasing assistant, or planning/analyst roles. 4 year degree is desired, but will accept additional job experience in lieu of a formal degree.


Direction is given by the Plant Manager or Site Leader. Must be able to effectively communicate with team members, production workers and corporate office personnel. Communicates regularly with internal customers who may be peers or higher level leaders. Interfaces with external vendors as needed.


Work is performed in a general office environment within a manufacturing facility. Seasonal temperatures may be extreme at times of the facility floor, including excessive heat or cold.
