Job Description

This role is in the Privacy department and has accountability for the case set-up and triage of our Privacy Incidents and handling of our repeatable incidents. Further, the position will be accountable for facilitation and administration of routine records management processes and other administrative duties for the team as assigned.

Supports Privacy and Records/Information Management functions and all aspects of day-to-day operations, workflows, calendaring, compliance, systems and technology for the company Privacy Department. Select functions include repeatable privacy incident response, records & information transfer and destruction process facilitation, reporting, training materials and correspondence updates, and other administrative duties as assigned.

Primary Duties & Responsibilities:

* Responsible for triage of a high volume of privacy incident referrals, applying given criteria to identify and document fact sets, generate and record initial responses and or escalate incidents to more senior team members as needed.

* Accountable for the facilitation and administration of a monthly department records transfer and destruction process requiring orchestration with department records coordinators and obtaining certification of completed processes.

* Responsible for monitoring team e-mail box for level appropriate work and also fielding and routing customer phone requests through the Privacy Intake phone lines.

* At the direction of more senior team members, develops advanced spreadsheets, presentations and communications requiring the ability to quickly grasp subject matter and develop clear, consumable, audience appropriate products and communications with limited direction.

* Responsible for advanced calendaring, recording minutes and decision documentation for reoccurring and ad hoc team and topic specific meetings.

* Effectively interact, negotiate and resolve obstacles with department records coordinators, incident referrers, project teams and others to provide acceptable solutions and results.

* Responsible for gathering and reporting accurate metrics for monthly and ad-hoc reporting requests.

* Supports more senior team members on projects on an ad-hoc basis as needs arise.

* At the direction of more senior team members, creates, aligns, implements and communicates online privacy and Records Management reference and training materials to appropriate enterprise locations such as the company Digital Commons, Field Compliance Manual and LinkNet.

* Accountable for point-ion-time and routine administrative functions such as "sign on rep", "Digital Ambassador", "PC/LAN" contact, miscellaneous expense/reimbursement reporting, and team workflow and project management systems.

* Gathers and delivers day-to-day progress of a project as it relates to managing scope, schedule, cost and quality in order to support project management decisions and compliance with Company approved methodology and required deliverables.

* Other responsibilities may be assigned as necessary.

Self Motivation; Organizational and follow-up skills; Self accountability, Attention to detail, a "sense of urgency" to their work, Self-starter attitude; the ability to work independently and report on progress. Strong MS O365 skills needed SharePoint development experience a plus.

Privacy and Records Management Background

Experience in a fast-paced, referral/triage environment
