Job Description

JOB DESCRIPTION

* Clearing prospects

* Helping with additional projects for orders

* Maintaining vault, self-promo and eCommerce site samples

* Managing breakroom cleaning schedule and emailing out reminders for each month

* Watering plants weekly

* Email staff anniversaries and birthdays

* Advise supervisor of any issues to ensure excellent customer service



Essential Duties & Responsibilities (Continued)

W2 Process Mail and Shipping

* Distribute mail accordingly

* Prepare customer packets for UPS, FedEx, and USPS packages

* Assist in mailing items to clients

* New customer boxes



Filing

Daily customer files

* Create new files and labels as needed/sub ballets

* Following filing purge process

* Catalog filing

* AP filing

* Sample filing

* Screen filing



Customer Service Database Management

* Maintain and utilize GoldMine database

* Mark NB contacts

* Assist current employees as necessary

* Account Protection list

 Emailed sales/CSS

* Provide contact lists to staff as necessary

* Stay abreast of new or improved methods

* Utilize Quantum System



Travel

* Research and book travel plans

- Plane

- Hotel

- Rental car

- Event Registration

* Travel Packets

- Itineraries

- Agendas

Other Duties

* Other duties as assigned

Supervision

Works under the general supervision of the CEO, Client Services.

Working Conditions:

Include ability to sit and work at a computer desk for extended periods of time, ability to stoop, kneel, bend at the waist and reach daily, ability to lift 25 pounds occasionally.



We prefer:

* An individual with previous Administrative Assistant, receptionist and/or similar industry experience. Also, possesses experience in working in a customer-focused and fast-paced professional environment.
