Job Description

6 months contract to hire or extend

As an Administrative Assistant working with our client, you'll be the driving force for keeping the office organized and productive.

You'll develop correspondence, track and order office supplies, produce various reports, maintain the office calendar and generally keep everyone on track. Your day will be varied, fast paced and never dull. You have a can-do attitude. A stay-on-top-of-it approach. You're the type of person who is compelled to keep things running smoothly. You have 3-5 years of experience in an office environment. And you're a whiz with Microsoft Office Suite.

What You'll be Doing

* Organize the office of the executive using judgment, discretion and diplomacy, and make day-to-day administrative and operational decisions.

* Coordinate and prioritize the daily activities of the executive, identify potential problems and shift priorities

* Provide briefings to the executive before appointments or meetings with appropriate background.

* Telephone coverage for team members

* Receive visitors

* Maintain team calendar and schedules

* Book meetings (initiating/reserving conference room/update security /order lunch)

* Expense reporting/reimbursement tracking

* Faxing/photocopying/scanning/filing/archiving data

* Prepare correspondence and maintain files

* Prepare and assemble client books/marketing materials and book binding

* Assist with compiling information for account opening

* Special projects and other duties as assigned and/or requested

What we're looking for:

* A Bachelor's Degree and/or 1-3 years relevant work experience

* Flexibility with the ability to multi-task and meet deadlines

* Strong client service orientation

* Excellent organizational skills with an attention to detail

* Strong work ethic

* Pleasant telephone manner

* Ability to work in a team environment

* Interest in investments and capital markets

* Proficient with Microsoft Word, Outlook, Excel and Power Point
