Job Description

Reporting to the Director of Alumni Relations, this temporary position will provide administrative support for the office of the Alumni Relations administrative support to the Associate Vice Chancellor of Alumni Relations for the school Fund. Primary responsibilities include assistance with event-related activities for alumni and university constituencies, including reunion, processing and monitoring the replacement diploma program and the alumni membership program. Answering phone inquiries, greeting visitors, and interacting with campus partners. Some evening and weekend hours required for this position.

Examples of Duties

Manage master calendar of all alumni events. Assist with execution of event-related activities for alumni, including reunion. Schedule and reserve required facilities, check the availability of parties involved and ordering food, supplies and other necessary materials and equipment; coordinate and track RSVP list for events and prepare name tags.

Provide coverage of phones, greet visitors, answer online inquiries. Process and monitor the replacement diploma program, and the alumni membership program, including assisting with the management of the benefits, services and affinity programs associated with alumni membership.

Compile data for use in reporting alumni activities by utilizing social media and other web based tools.

Manage travel plans and expenses for Associate and Director including assisting in securing airfare and hotel accommodations.

Work on special projects assigned by the Associate VC and Director of Alumni

Minimum Qualifications

1. Proficient with Microsoft Office and CRMS and other administrative software applications

2. Ability to manage multiple tasks with sensitive deadlines.

3. Friendly and professional demeanor when working with major gift donors, alumni, friends and students.

4. Working knowledge of social media

5. Ability to maintain confidentiality standards

6. Strong commitment to customer service

7. Prior experience working in Higher Ed, Non-profit or fundraising operation desirable.
