    NATURE OF WORK:
    Serves as Project Manager in the planning, scheduling, reporting, controlling and completion of facility projects. Position involves competing demands, performing multiple tasks, working to deadlines, occasional work beyond normal business hours, and responding to customer issues. Position functions primarily in an office environment without notable hazards or factors; outside work involves exposure to all weather conditions, mold, asbestos, lead paint, dust, hazardous chemicals, fumes, high pressure gas lines and high voltage equipment when conducting inspections. Position requires the ability to lift and carry items weighing up to twenty-five (25) pounds; ability to climb ladders and scaffolds; ability to access trenches, attics, crawl spaces and tight spaces; ability to distinguish colors, sizes, quantities, depths and heights.

    DUTIES AND RESPONSIBILITIES:

    * Drafts requests for proposals (RFP) and formal bid documents to secure outside services; secures bonding and insurance from vendor; administers contracts between owner and vendor.
    * Manages projects from beginning to their completion in ensuring compliance with City rules, guidelines, building codes and laws; researches and obtains technical information for each project; drafts construction contracts; communicates scope of work, time frame progress, estimated costs and projected completion dates; submits notice to proceed documentation; submits requests for payment.
    * Meets with City staff to develop a scope of work; develops and prepares cost estimates.
    Administers multiple-pricing agreements; monitors account balances; provides account balances to section heads; requests the invitation to bid or a renewal of pricing agreements; monitors expiration dates of each agreement.
    * Drafts City Council action forms and resolutions to obtain project authorization before project commencement.
    Receives inventory from all City departments; maintains records of inventory received and removed; requests titles of vehicles submitted; organizes the warehouse and auction yard; maintains accounting documentation for compilation to provide accurate record keeping for auditing purposes.
    * Researches professional magazines and journals for project specifications and product information.
    * Communicates with the customer and supervisor regarding the status of projects.
    * Periodic inspect work sites to ensure work is being performed according to contract specifications and all applicable codes.
    * Plans, organizes and schedules public input meetings for various proposed capital projects.

    Job Duties:
    * Answers main office phone and orders office supplies as necessary.
    * Maintains and updates tenant, vendor, and building staff contact lists.
    * Sends out communication to all tenants as needed.
    * Creates, organizes, and maintains vendor, tenant and lease files.
    * Schedules and Coordinates the reservations/set-up for the Building Conference Room.
    * Handles tenant maintenance requests/work order calls by creating a work order and forwarding it to the appropriate maintenance personnel/engineer/vendor, following up on the status of the work order, and closing out completed work orders.
    * Responsible for assisting new tenants in the setup of their work order system account through Angus software.
    * Responsible for daily tenant relations, providing guidance/information as needed, and thoroughly understanding any needs, inquiries, or concerns.
    * Responsible for editing, updating, and distributing building handbook, policies, procedures, staff changes, etc. and ensuring tenant compliance.
    * Requests, tracks, and maintains all tenant, vendor, and contractors' Certificates of Insurance (COI) and W-9's to ensure they are current and in compliance with building requirements.
    * Handles new tenant move-ins (i.e. keys, signage, distributing tenant handbook and building policies, providing tenant with Contractors request form for them to schedule any work/deliveries, coordinating movers/freight elevator & loading dock use, requesting contractors' COI, etc.).
    * Responsible for monthly tenant bill-backs (i.e. maintenance services, overtime HVAC, etc.) to be reviewed by Property Manager and sent to Accounts Receivable for monthly rental statement.
    * Reviews aged delinquencies and ensures proper communication and follow-up with tenants to insure receipt of payment. Assists the Property Manager in preparing the monthly aged delinquency reports.
    * Coordinates tenant evacuations/fire drills, tenant council meetings, and tenant/building events.
    * Schedules service calls as needed with vendors.
    * Assists the Property Manager with the review, approval, and coding of vendor invoices and preparation of the periodic Check Run Requests.
    * Deals with vendors of contracted services (i.e. janitorial, landscaping, etc.) as designated by Property Manager to insure that the services are being rendered satisfactorily and billed accordingly.
    * Assists the Property Manager with obtaining proposals from vendors for repairs/maintenance projects and writing the Service Agreement.
    * Assists the Property Manager in reviewing and updating the monthly/quarterly Variance Reports and Executive Summary for the Ownership Reports.
    * Other duties as assigned to perform full property management services to the building, the Tenants and the vendors.

    Requirements:
    * A.S. Degree in Business Management or relevant education and experience of 3-5 years.
    * Must be willing to submit and meet the requirements of a pre-employment background and drug screen.
    * Must have a valid driver's license; MVR report will be performed.
