Job Description

To be the first point of contact for all visitors, customers and vendors at the Houston, Texas Office. Acts as the gate keeper for unsolicited vendor and visitor calls.

To be the central point of contact for all facilities-related activities at the Houston, Texas Office and to be the liaison between the company and the landlord.

To provide administrative support, including printer and office machines mgt. for the Houston, Texas Office location for various offices and departments.

To be the administrative contact for vendor services for the Houston, Texas Office location including but not limited to, coffee machines, telephones, office supplies, etc.

Principal responsibilities

Reception desk coverage: greets visitors, answers main line telephone queries, logs visitors, issues visitor ID's.

Receives work requests from all company employees and refers service issues and requests landlord regarding building services.

Process invoices, create I/O, PO's for all office departments.

Prints original and replacement ID's and for field locations as necessary and assigns security access to employees.

Assists end users in the scheduling and setup of conference room/huddle rooms.

Schedules and coordinates receptionist coverage as required.

Serves at the primary contact for outside vendors such as the interior plants maintenance and coffee service.

Liaison with landlord for all service-related matters.

Maintains telephone and emergency contact phone list for location.

Provides administrative support to departments.

Acts as the assembly point coordinator for any building evacuations.

Is responsible for organizing and maintaining the list of evacuation coordinators on all floors.

Updates and maintains legal bulletin boards and document control.

First aid team member and coordinates and maintains team membership and training.

Key interfaces

All Houston based employees. All visitors to Houston. Houston office landlord. Outside vendors.

Required Skills

Strong written and oral communication skills.

Must be able to stay organized while multi-tasking and work well in a fast paced environment.

Must be proficient in applications software such as SAP, Banctec, SRM, Intellex, and Microsoft Office.

Ability to prioritize service responses.

Demonstrated ability to build internal and external relationships using effective verbal and written communication skills.

Work independently without regular direct supervision.

Must provide excellent customer service.
