Job Description

This is a temporary 3 month fill in for an employee leave. Role is set to begin March 25. The Executive Assistant supports the Senior Vice President of Supply Chain, Real Estate and Planning and Construction. Handles day to day administrative routines and issues to create greater efficiency for Senior Management. This highly visible position must perform with highest degree of confidentiality, sense of urgency, good judgment and tact at all times, whether in person, on the telephone, in written correspondence, or email in an ever-changing, fast-paced environment.


Coordinates and maintains assigned executives' complex calendars by scheduling and confirming daily meetings, commitments, agendas, conferences, telephone conferences and travel plans.

Preparing correspondence for approval, KRONOS editing, requisitioning, maintaining files, preparing expense reports, routing incoming and outgoing mail as assigned.

Handles telephone calls, messages and emails promptly, accurately and courteously.

Provides assistance, guidance, and direction to visitors, staff and vendors entering the Administration area.

Prepares all aspects of meetings: ensures presentation materials are ready for executives in time for editing; secures meeting rooms schedules; prepares and manages meeting invites; determines needs for refreshments and meals, manages orders; ensures A/V and all other equipment is prepped.

Prepares departmental expenses for payment submission. Participates in activities to aid in meeting budget guidelines and deadlines. Assists with data collection and monitors department expenses to ensure budget compliance.


A minimum of 5 years of progressively responsible experience supporting senior level management. Advanced knowledge of Microsoft Word, Excel, PowerPoint and Outlook.
