Job Description

POSITION SUMMARY

The Senior Payroll Specialist processes accurate and timely payroll to support current Canadian and multi-state business entities, including: processing and auditing US and Canada bi-weekly and semi-monthly payrolls, reconciling payroll tax returns, creating data import files and writing reports, and providing assistance with employee questions regarding pay and withholdings. The Senior Payroll Specialist demonstrates and adheres to the company values of safety, honesty, ownership, respect and teamwork to ensure successful partnership with customers and employees that result in continued success.



ESSENTIAL RESPONSIBILITIES

*Administer and perform data entry for accurate and timely processing of hours and earnings of employees resulting in bi-weekly and semi-monthly payroll checks including overtime as needed

*Assist Sr. Payroll Manager in identifying payroll operations process improvements, including procedural documentation updates as needed

*Audit payroll records and run adjustments

*Assist Sr. Payroll Manager Audit Monthly, Quarterly Tax Filings, providing corrections as needed

*Audit, research and resole cases assigned for payroll calculation/deduction-related issues in a timely manner

*Calculate manual checks, involuntary terminations, missed hours and special requests

*Ensure that systems and processes correctly compute and record time, earnings, employee benefits, special deductions, mandated benefits, taxes, garnishments and other items that affect new pay and/or company liability

*Manage employee (new and existing) information in UltiPro for all US and Canada companies, including W-4's, T4's, terminations, pay increases, direct deposits and deductions: 401(k), benefits, boots, union dues, garnishments, child support

*Balance payroll runs, produce Federal, State and local tax payments, and answer employee questions and research and troubleshoot issues



OTHER DUTIES

*Void checks, process stop pays and direct deposit reversal requests, as needed

*W-2 and W-2C preparation and amendments

*T-4 for Canada Employees

*Provide Benefits Administration Assistance by: reconciling 401(k), FSA and HSA payroll deductions

*Work overtime as needed to meet payroll schedule demands

*Perform other duties and projects as assigned



REQUIRED QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES

*7+ years of in-house payroll processing and administration experience in a high volume, multi-state and Canadian corporate environment

*Coordinate and assign work in a fast-paced, high volume environment

*Handle highly sensitive and confidential information with professionalism and confidentiality

*Self-starter; manage multiple tasks simultaneously with competing priorities under minimal supervision

*Strong analytical and math skills to identify trends and implement process improvements

*Basic computer skills in Microsoft Office Suite; advanced Excel skills: pivot tables, vlookups; conditional statements (if/then) formulas

*Work in fast-paced, collaborative environment



PREFERRED QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES

*Previous experience in Rail Transportation, Supply Chain Logistics, Manufacturing and/or Oil and Gas industries

*Payroll experience using UltiPro or other comparable enterprise payroll software: Ceridian, Paychex, ADP etc.

*Bachelor's Degree

*CPP certification

Compile and post employee time and payroll data. May compute employees' time worked, production, and commission. May compute and post wages and deductions. May prepare paychecks.
