Job Description

* Attending office every day (9:00am-5:00pm, 8 Hours with ½ hours or 1 hour lunch break as per policy). Check if lunch hours is ½ hour or one hour.

* Walk to the facility every day to ensure proper maintenance of office (No Chair is broken, Supervising Janitorial work to ensure proper cleaning, ensure enough office supply in cafeteria, no bulb is fused, proper lighting in all places, same LED/bulb needs to be replaced -"Day light brightness" to ensure putting same color brightness in LED/Bulbs (all of them should be Day Light), ensure proper maintenance of office equipment's (water dispensers, vending machines, coffee machines, microwave, refrigerator and cleaning of office equipment's on a monthly basis through janitorial service)

* Proper maintenance of Store Rooms (within Fire Department guidelines).

* Maintaining tracker of all critical services (UPS, Pest, Fire Alarm, HVAC etc.) and to renew ahead of expiring of AMCs.

* Responsible for SMS, Seats assignation, projects requirements, EMS - giving admin clearance etc. with agreed SLAs (within 2 working days)

* Managing Client visits, events in Sunnyvale office, Sales meet etc. (end to end responsibility by working closely with HR/Sales/Delivery teams)

* Managing conference & private rooms (assigning rooms, booking conference room, keeping records etc.)

* Managing Chairman/CEO office visits (lunch arrangements, taxi requirements, conference rooms, other support required by Chairman/CEO office)

* Attending Weekly calls to give update on Sunnyvale office

* Supporting Emeryville office (Remotely) and providing support on ordering office supplies

* Maintaining Assigned Seats Report (seats capacity, assigned seats - with employee name and seat numbers, employee names on each seat, vacant seats, sending emails to employees for vacating seats - in case they are not coming to the office at least 15 days/month). Sending report to leadership on assigned/vacant seats (with seat number and name) on a weekly basis.

* Taking timely action on Alarms (Office Doors, Fire Alarm and Server Room Temperature Alarms)

* Responsible for Fire Drills - Twice a year and documenting it with Pics.

* Providing Support for Medical Health Fair (Annual)

* Providing Support (through Sunnyvale admin team) to Recruiters for Weekend Walk-In-Interviews

* Upkeep of all equipment-leased and owned.

* Responsible for Shredding documents (through external vendor) once a month, moving extra records to outside storage space.

* Working with Landlord/Leasing Office (for construction work, parking and maintenance where LL is responsible) and company's Preferred vendors for office maintenance.
