Our client, a leader in marine and port services, is seeking a dedicated and detail-oriented Administrative Assistant 2 to join their team. As an Administrative Assistant 2, you will be an essential part of the Marine Systems Service and Ports Service group, supporting daily office operations and accounts receivable processes. The ideal candidate will demonstrate excellent organizational skills, proactive communication, and a commitment to accuracy, aligning seamlessly with the organization’s goals of efficiency and service excellence.
Job Title: Administrative Assistant 2
Location: Charleston, SC
Pay Range: $22/hr.
Shift: M-F, 8:00 am to 5:00 pm
What's the Job?
- Perform a wide variety of administrative duties, including managing correspondence, reports, and organizational charts.
- Serve as the first point of contact for the Charleston Service office, handling mail, deliveries, visitor logistics, and meeting coordination.
- Maintain document repositories, filing systems, and procurement of office supplies to ensure smooth office operations.
- Support onboarding and offboarding processes, including workspace setup, access requests, and safety orientations.
- Monitor accounts receivable aging, follow up on past-due balances, process credit/debit memos, and document approvals for audit purposes.
What's Needed?
- Minimum of 2 years of experience in office administration and/or accounts receivable support.
- Working knowledge of ERP billing and AR processes; SAP experience is highly desired.
- Strong proficiency in Microsoft Excel (including vlookups and pivots), Word, Outlook, and Teams.
- Excellent communication and customer service skills with high attention to detail and a sense of urgency.
- Ability to work independently under limited supervision while maintaining a collaborative approach.
