Project Billing & Contracts Coordinator – Northern Frederick County
Direct Hire | Full-Time - Salary: $65K - $85K
Our client is seeking a detail-oriented Project Billing & Contracts Coordinator to support construction projects through accurate billing, contract administration, accounts receivable management, and project financial reporting.
This role is ideal for someone with experience in construction billing, project accounting, cost accounting, or accounts receivable who thrives in a fast-paced environment and enjoys working closely with project managers and internal teams. The successful candidate will be highly organized, be an excellent communicator, possess strong Excel skills, understand AIA billing processes, and have a strong sense of urgency.
What you would be doing in this role:
- Prepare, review, and submit invoices in accordance with contract requirements and project timelines.
- Coordinate monthly billing activities with Project Managers.
- Track and reconcile project billing against approved schedules of values.
- Monitor accounts receivable and follow up on outstanding invoices.
- Work with Project Managers and General Contractors to resolve billing discrepancies.
- Maintain accurate records of invoices, change orders, payment applications, and project documentation.
- Process lien waivers, certificates of insurance, compliance documents, and other contract-related paperwork.
- Assist with month-end billing and revenue recognition activities.
- 2+ years of experience in construction billing, construction accounting, project accounting, cost accounting, or accounts receivable.
- Experience with AIA billing forms, construction contracts, lien waivers, and payment applications.
- Strong proficiency in Microsoft Excel.
- Experience with construction accounting or billing software such as Textura, Procore, Viewpoint, QuickBooks, or similar systems.
- Associate's or Bachelor's degree in Accounting, Finance, Business, or related field preferred.
