Three Month Contract Executive Assistant to President

What is the job?

* Handle administrative needs of President

* Arrange conference calls and meetings

* President's calendar, schedule meeting, calendar invites, including GoTo details

* Make travel arrangements such as flights, cars, hotels and transfers

* Process registrations for President's business travel (book hotel through these sites)

* Assist with preparation and gathering of materials for meetings (i.e. consolidation of: Weekly Flash Report, weekly TI Dashboard report, TI Monthly brand presentation) plus additional requests as needed

* Manage American Express Gift checks - ordering and processing, mail out agent redemptions, balancing of gift check box

* Review company invoices for President's sign off, then pass to accounting

* Work closely with ALG execs and their assistants for meetings and their needs

* Track direct report VIP time

* Act as a liaison between other departments i.e. marketing, sales, customer care issues, HR on needed items relating to building, meeting and event planning such as Town Hall, and year-end recognition events.

* Assist ordering lunches for Executive meetings

What do you bring to the job?

* Previous experience as an executive secretary, administrative assistant, or in other related fields

* Strong organizational skills

* Ability to prioritize and multitask

* Strong attention to detail

* Proficient in Microsoft office, specifically Word, Excel, Outlook PowerPoint.

* Knowledgeable of setting up Go To meetings

* Friendly and personable

* Detailed oriented

* Confidentiality - very important

* Confidence

* Very high level of reasoning will be critical as managing interactions with corporate staff and team are constant
