Job Description

Admin Receptionist

Location - Fredericton

Pay $14.71/ hour

duration - start - immediately - 6 week contract.


* Manage reception area by greeting and meeting visitors and answering phone calls, providing information, and referring visitors/callers to appropriate meeting host and individuals. Answer telephone calls in a professional manner and provide information and/or redirect the caller to the appropriate department. Take and convey messages either via phone or email.

* Provide prompt, accurate and courteous turnaround on requests

* Act as interface in dealing with customers and bank personnel as a receptionist by greeting visiting clients, offering them refreshments and directing them to the appropriate meeting room. Contact the visiting party via phone or email to notify them that their guest has arrived.

* Manage availability of client meeting rooms with discretion and book requests through CAM Meeting Room Reservations, Mailbox. Receive meeting requests and ensure necessary parties are notified to fulfill meeting requirements i.e. any audio-visual requirements, contact team EA for unique setups, etc. Provide chilled water or other refreshments to external guests.

* Arrange for set-up of complex meetings with requestor and team EA ensuring all details and arrangements are handled and monitored

* Receive catered food orders from freight elevator access and ensure proper provision to meeting

* Receive incoming mail/parcels when mailroom clerk is out on a delivery.

* Perform general administrative tasks such as invoice processing, kitchen supplies ordering

* Spare Access Cards administrator. Ensure compliance and audit processes are followed and maintained

* Order, maintain supply and provide RSA tokens to staff to work from home

* Maintain and update floor telephone lists

* Receive, sort and pack incoming Trade Confirmations and prepare documentation for archiving process

* Act as Head Fire Warden, coordinating team members duties and ensuring their training; Act as responsible and competent leader during Emergency Evacuations

* Interface with clients, senior management and Corporate Services professionals and their assistants

* Arrange, coordinate and train substitute coverage at reception for my vacation and other absences.

* Other duties as required
