Job Description

ADMINISTRATIVE COORDINATOR



PURPOSE OF POSITION:



The selected candidate will provide a wide variety of administrative and support services to the Distribution Manager and his direct reports. This position will also be required to serve as a backup to other areas in our operation as necessary, deliver internal customers with necessary information and reports on strict time schedules which may require working overtime and some weekends.

Assists in planning & organizing special operational projects including but not limited to JDE implementation and Production volume increase.



ADMINISTRATIVE DUTIES:

* Organize, attend and participate in meetings

* Document and follow up on action items

* Ensure project deadlines are met

* Provide administrative support as needed

* Create reports

* Assist with accounts receivable completed in a timely fashion in a MAPEX (AS400) system

* Manage visitor control program

* Travel and Expense (T&E) reporting

* Assist with processing invoices

* Getting quotes

* Data Entry

* Coordinate food orders

* Create files

COMMUNICATION:

* Must have good written and verbal communication skills

* Greet, first contact, for employees, visitors, vendors and customers

* Answer phone and direct calls accordingly

RELATIONSHIPS:

* Reports to Distribution Manager

* Direct reports: No direct reports

* Frequent interaction with

o Internal: Sr. Distribution Coordinator, Plant Manager, HR, Operations on all levels of the organization

o External: Vendors, Customers, and Visitors

REQUIREMENTS FOR THE POSITION:

* Minimum of an Associate's Degree.

* At least three (2) years experience in an administrative professional role required (in a manufacturing environment highly preferred).

* Outstanding skills in all of Microsoft Office Suite applications.

* Accurate data entry required.

* Must be able to work under tight timelines to meet commitments.

* Previous experience in Accounts Receivable (A/R) a plus.
